Privacy Policy
Last updated: 24 October 2026
Body Renewal Fitness & Wellbeing Limited (“Body Renewal”, “we”, “us”, “our”) is committed to protecting your privacy. This policy explains what personal information we collect when you use our website, buy a class pass or book a session, how we use it and the rights you have.
1. Who we are
Body Renewal Fitness & Wellbeing Limited is the data controller for the personal information described in this policy. We are a company registered in England and Wales (company number 17065718), with our registered office at Flat 2, 134 Valley Drive, Harrogate, HG2 0JS. You can contact us about privacy at info@bodyrenewfitnesswellbeing.com or 07583 777089.
2. Information we collect
- Contact details: your name, email address and phone number.
- Booking details: the classes or sessions you request, your bookings, cancellations, attendance and waitlist requests.
- Purchase details: the class pass you buy, the amount paid, your remaining class credits and their expiry date. Card payments are handled by Stripe; we never see or store your full card details.
- Health information: your answers to our PAR-Q health screening questionnaire and any details you add about injuries, conditions, pregnancy or medication. If you train with us one-to-one, this may also include physical assessment results and progress notes.
- Enquiries: the information you send us through our forms, quiz, email or WhatsApp.
- Website usage, only if you accept optional cookies: pages visited, buttons clicked and time spent on the site, and information collected by the Meta (Facebook) Pixel.
3. Your health information
Health information is a special category of personal data under the UK GDPR. We collect it only so that we can check whether a class or session is suitable and safe for you, and adapt it where needed. We process it on the basis of your explicit consent, which you give when you complete the PAR-Q.
Your health answers are only seen by Vania and the people who help her run the business. We do not use them for marketing and we never share them with advertisers. You can withdraw your consent at any time by contacting us; if you do, we may not be able to offer classes where screening is required for your safety.
4. How we use your information and our legal basis
- To take your booking, process your payment, manage your class credits and send booking confirmations, reminders and changes (performance of our contract with you).
- To check your PAR-Q and keep you safe in class (your explicit consent).
- To reply to your enquiries (our legitimate interest in responding to people who contact us, or steps you ask us to take before a contract).
- To send occasional updates and offers, only if you have ticked the box to receive them (your consent). You can unsubscribe at any time.
- To keep financial records and meet tax, accounting and insurance obligations (legal obligation).
- To understand how our website is used and to measure our advertising through the Meta Pixel (your consent via our cookie banner).
5. Who we share your information with
We do not sell your personal data. We only share it with service providers who help us run the business:
- Base44, which hosts our website and booking system, stores our booking records and sends our booking emails.
- Stripe, which processes card payments securely.
- Meta Platforms, only if you accept optional cookies, to measure the performance of our adverts.
- Google and Meta (WhatsApp), when you choose to contact us by email or WhatsApp.
Some of these providers process data outside the UK, including in the United States. Where they do, they use safeguards recognised under UK data protection law, such as the UK International Data Transfer Addendum or the UK-US Data Bridge.
We may also share information where the law requires it, for example with HMRC or in an emergency.
6. Cookies and similar technologies
We use browser storage that is essential for the site to work, such as remembering your cookie choice and keeping your booking form in progress. Our own site analytics and the Meta Pixel only run if you click “Accept” on our cookie banner; if you click “Reject”, neither is used. You can change your choice at any time by clearing your browser’s site data for this website.
7. How long we keep your information
- Booking, attendance and health screening (PAR-Q) records: for as long as you are a client and for up to 3 years after your last class or session, so that we can deal with any questions, claims or insurance requirements.
- Payment and accounting records: for 6 years, as required by UK tax law.
- Enquiries that do not lead to a booking: up to 12 months.
- Marketing preferences: until you unsubscribe or ask us to delete them.
After these periods, we delete or anonymise your information.
8. Keeping your information secure
Access to booking, payment and health records is restricted to authorised administrators. We take appropriate technical and organisational measures to protect your information, although no method of transmission over the internet is completely secure.
9. Your rights
Under the UK GDPR, you have the right to:
- Access the personal data we hold about you.
- Ask us to correct inaccurate or incomplete data.
- Ask us to delete your data, subject to legal retention requirements.
- Object to, or ask us to restrict, how we use your data.
- Withdraw your consent at any time, without affecting anything we did before you withdrew it.
- Receive a copy of your data in a portable format.
To exercise any of these rights, contact us at info@bodyrenewfitnesswellbeing.com. We will respond within one month. If you are unhappy with how we have handled your data, you can complain to the Information Commissioner’s Office (ICO) at ico.org.uk or on 0303 123 1113. We would appreciate the chance to resolve your concern first.
10. Third-party links
Our website links to other sites, such as Instagram and Linktree. We are not responsible for their privacy practices and encourage you to read their policies.
11. Changes to this policy
We may update this policy from time to time. Changes will be posted on this page with a new “last updated” date.
